New ECA Signup Process
Over recent years, the success of our ECA programme has created a high level of demand for the activities from parents and students. The signup system on Moodle has proven to be convenient and popular, to the extent that some parents have experienced problems during the signup phase. To ease these issues and to ensure more students have access to their preferred activities, we have developed a new Moodle signup process that will be introduced for this coming term.
Rather than a first-come first-served system, the new process will be preference-based. You will have a 5-day window from Thursday 24th to Monday 28th November in which to indicate the activities your child would like to join. You are free to choose as many activities as you would like, ranking them on a preference basis - 1st choice, 2nd choice etc. We encourage you to choose as many activities as your child is interested in.
The way in which you choose to rank your preferences is left deliberately open. If joining an activity on a Monday is of particular importance, then please allocate your higher preferences to Monday activities. If you're keen for your child to partake in an ECA every day, then feel free to make a 1st, 2nd, 3rd, 4th, 5th... choice per day.
At the end of the initial signup phase, ECA places will be allocated by the system to ensure everyone's preferences are fairly taken into consideration. You will then be notified of which places your child has been allocated, and will be able to modify those activities should you wish, subject to alternative places being available.
We will be offering a drop-in help centre in the Library classroom R12 at the following times:
- Thursday 24th November 2.45 - 3.30pm
- Friday 25th November 7.30 - 8.30am
Should I try to sign up right at the start, like before?
No, you have 5 days in which to make your selections, and signing up early offers no advantage.
How many options should I choose?
Please choose as many as your child is interested in. The more choices you make, the more certain you will be of being allocated a place.
If I make only one choice, does that make me more likely to get it?
No, definitely not. It makes you more likely to miss out altogether if that single choice is popular.
Will the system be fair?
We believe so. We are using a modified Ranked Preference Matching Algorithm that ensures all students are treated equally in the allocation process.
Can I put down two 1st choices?
Yes, absolutely. If there are activities that are equally appealing, then please rank them equally.
Should I indicate a 1st choice for each day, or a single 1st choice over the week?
That's up to you - it will neither advantage or disadvantage you in the allocation process.
What happens if my child changes their mind?
During the 5-day preference signup, you are free to change your choices as many times as you want. After activities have been allocated, you are still free to change, but of course some activities may be full at this stage. This week’s ECA spotlight focuses on Mr Mike's Tuesday Cooking Club where students develop team work, problem solving and practical skills through taking part in some delicious cooking activities.

Please also note that we use the sign-ups on Moodle to collaborate with Transport and Accounts so if there is anything we need to be aware of (e.g. cancellations, or students joining late), please e-mail email@example.com and keep us informed.
