Admission Officer/Receptionist

  • Period: Full Time

JOB PURPOSE

The post-holder’s primary responsibility will be the co-ordination and administration of all tasks and activities related to admission and enrolment of students and to provide administrative support to the Academic and Co-curricular Coordination Teams within BIS HCMC.

You will act as an ambassador for the school, enhancing and building our reputation both locally and globally. You will work across our school community to embed a sense of community, pride and belonging.

DUTIES & RESPONSIBILITIES:

Admissions job:

  • Be the first contact for all families looking to join the school, provide accurate school information for the whole school, and sell the benefits of a BIS education. Specialising in student enrolment for the Secondary campus.
  • Support families with a variety of needs from initial enquiry stage all the way through to enrolment, and transition into the school
  • Input data into the school database system (SIMS/iSAMS)
  • Arrange assessments, liaise with academic staff for assessment schedules
  • Conduct personalised campus tours for each family
  • Manage leads and enquiring family follow ups in a personalised, efficient & timely manner
  • Build positive relationships with the whole BIS community
  • General office related administrative duties
  • To maintain accurate student databases and update enrolment forecasts and internal documents for statistical purposes
  • To ensure the smooth transfer of student data between campuses.
  • Reports to Head of Campus and Admissions Manager and work closely within the Admissions team across all campuses

Receptionist job:

  • Answer and transfer incoming calls. Take message properly if requested.
  • Greet and welcome guests.
  • Provide support to the Admin team
  • Control and maintain the appearance of the reception.
  • Receive and dispatch couriers, mail, co-ordinate with messengers to ensure out going couriers, mail, documents will be sent to the relevant receivers on time with proper record
  • Administrative responsibilities including filing, travel arrangements, and personal assistance
  • Administration relating to staff members
  • Assist parents with general enquiries and requests relating to classes and clubs
  • Solve issues and direct parents to the right member of staff

Other duties as assigned.

SKILLS AND QUALIFICATIONS:

  • Vietnamese Citizen
  • University Degree or Diploma
  • Excellent command of English and computer skills
  • Able to communicate well with people fluently in English and Vietnamese, both verbally & written communication
  • Professional
  • Well-organized; confident and dynamic
  • Ability to work closely in a busy team
  • Strong time management skills
  •  Enthusiasm to develop within the role

Child Protection:

Ensure Safeguarding of all students by:

  • Passing all Child Protection issues onto the Designated Senior Person for Child Protection.

Personal Development

  • Continual development through the identification and implementation of your own Professional Review and Development needs to include:
  • Continually striving to improve performance;
  • Setting and working towards targets with AHTCC, linked to the department and school development plan;
